Position: Project Management Assistant / Expeditor Department: Operations Reports to: Vice Presidents

General Summary: The Administrative Assistant / Expeditor is responsible for efficient and accurate control and data management of project documents. He/she will assist project management and the operation team with processing of all required paperwork and submittals in a timely and cost effective manner. This position will be responsible for answering incoming calls and provide general administrative duties as required.

Principal Duties and Responsibilities:

  • Documents, organizes, records, and distributes project documentation (i.e. correspondence, RFI's, Submittals, Releases and Packing slips).
  • Organizes and maintains electronic and hard copy files.
  • Distribute submittals after project manager reviews and approves.
  • Expedite and tracking of material and equipment for all projects.
  • DOB filing / FDNY permits as required.
  • Routine administrative support for project team.
  • Maintains a regular work schedule and understands the importance of reliable attendance.
  • Other relevant duties may be assigned as required.

Qualifications: To perform this job successfully, the individual must be able to follow directions, pay close attention to detail as well as be a team player with a "can do" attitude. Required Attributes:

  • Must be detailed oriented.

  • Able to deal with a variety of people/personalities in a professional and courteous manner.

  • Must possess excellent verbal and written communication skills.

  • Able to plan and organize work and coordinate amongst the project team.

  • Must be able to manage time effectively to meet deadlines.

  • Able to work independently with minimal supervision.

  • Must be able to download files from various FTP sites.

Required Computer Skills:

  • Microsoft Office (Word, Excel)

  • Outlook

  • Internet Explorer / Chrome

  • Adobe Acrobat Reader/Pro

  • Blue Beam Revu

  • Construction Software (eSub) or Accounting Software (Timberline) a plus.
