POSITION PURPOSE

The Warehouse Administrator is responsible for assisting the Warehouse Supervisor with managing the daily warehouse operations at the RM Warehouse. The position is also responsible for performing all transactions related to order fulfillment, sampling of components at time of receipt, maintaining COA’s and entering product receipts. This position requires a close working relationship with all levels of management in the Warehouse(s), Operations team and Quality team.

ESSENTIAL FUNCTIONS AND BASIC DUTIES

  • Prepares Bill of Lading and packing slips for shipments
  • Maintain safety, quality and productivity goals for Warehouse operation.
  • Maintains acceptable and accurate inventory levels by performing periodic cycle counts
  • Communicates with Quality Assurance to expedite the availability of components and release of lot numbers.
  • Performs inventory transactions and maintains cycle counting data
  • Communicates with Supply chain group to ensure accurate transfer and availability of inventory.
  • Works closely with Quality team member to assist with the sampling process.
  • Maintains inventory of sample/trial materials and keep the sample cage neat and organized.
  • Maintains accurate records of shipping and receiving documents
  • Entering receipts, returns and transfers in system.
  • Develop metrics for cycle counting accuracy, transfers and receiving output.
  • Print out the Q report and identify items and lots that are required for sampling for quality testing/evaluation.
  • Examine each lot for cleanliness, correct and adequate identification, and uniformity of mass as material items and lots are received at the warehouse
  • Determine acceptability of receipts and advises management, or designee of problems identified at receipt to the warehouse.
  • Sample materials according to procedures utilizing aseptic sampling technique.
  • Prepare and Label samples from LIMS entry and testing by the Quality laboratories (QC and/or Micro), as needed
  • Support resamples located in the warehouse as requested by the Analytical or Micro Lab.
  • Attach COAs related to applicator (non-woven) / components into LIMS at time of receipt or as received by email.
  • Coordinate input into the LXi (BPCS), LIMS as daily basis based on procedures related to skip lot of components
  • Maintain good working relationships with Quality Lab Personnel, Liquid Room, and Warehouse Material Handlers.
  • Provide support to QC lab by place appropriate stickers on containers, i.e. “Approved”, “Hold”, or “Rejected”.
  • Perform other duties as assigned by Warehouse Supervisor.

 REPORTING & ANALYSIS:

  • Observe Good Documentation Practices (GDP)
  • Maintain / Coordinate COA attachment in LIMS for applicator / components received at the warehouse
  • Print the Q-report on timely matter
  • Sampling and COA tracking in timely matter

PERFORMANCE MEASUREMENTS

  • Meet or exceed warehouse goals set by ensuring all transactions are processed accurately and on time
  • Meet or exceed receiving goals by ensuring all receipts are entered in a timely manner.
  • Ensure all safety and quality goals are met for RM warehouse.
  • Ensure facility is audit ready at all times
  • Timely and accurate completion of inventory transactions and cycle count data

QUALIFICATIONS

EDUCATION/CERTIFICATION:

  • High School Diploma
  • Some College preferred
  • One year or more of work experience as a Laboratory Technician or Warehouse associate

REQUIRED KNOWLEDGE:

  • Understanding of hazard labels and MSDS sheets.
  • Knowledge of LIMS.
  • Basic knowledge of Analytical or Micro Lab requirements

EXPERIENCE REQUIRED:

  • A minimum of 0-1 year of professional experience in a pharmaceutical environment, or an equivalent combination of training and experience.
  • PC literate including knowledge of Microsoft software such as Excel, Word.

SKILLS/ABILITIES:

  • Proficiency in reading, writing and speaking English
  • Must have good communication and customer service skills.
  • Be able to read and comprehend Company policies and procedures, including safety rules and regulations
  • Ability to multi-task and have good time management skills.
