Department Statement
Accountabilities
Accountable for the timely and accurate processing and itemization of all capital assets, salvage, and surplus inventory to ensure that the University's best interests are covered. Accountable for accurately disseminating available inventory through various internal and external websites/online auctions and coordinating the pickup of items to be sold. Accountable for scheduling the removal of surplus inventory from campus buildings during capital renovation projects, while working within the confines of the renovation schedule. Ensures funds from sales are submitted to Accounting on time and that prompt credit to departments for sales is conducted. Ensures that the inventory of all capital items for the campus is routinely conducted, is up to date, and accurately reflected in the Capital Asset Report. Responsible for the coordination and management of off-site salvage inventory and its disposal. Responsible for contributing to cost efficient measures and continuous improvement of University surplus strategies. Responsible for campus wide training of salvage procedures. Accountable for communicating with the general public regarding salvage questions and procedures.

Ability to use Banner Finance for both capital asset inventory management as well as assigned purchasing work as a Junior Buyer.

Accountable for the oversight and integrity of assigned acquisition, control/audit activities and timely processing of payments for capital asset, salvage, and surplus property support services. Accountable for the acquisition of materials, support, and performance of suppliers that support capital asset, salvage, surplus property operations. Responsible for the administration and monitoring of select suppliers, ensuring their performance is acceptable and in compliance with all Colgate specifications including quality, delivery, and pricing. Effectively control Colgate's property and capital asset inventory demands, maintaining proper records (for audit / compliance) while minimizing the amount of material warehoused. Accountable for the integrity, accuracy and the proper dispensation of capital assets, salvage, and surplus.

Accountable for working collegially with all personnel, facilities management, budget and accounting office and purchasing department in the effective and efficient operations of the capital asset, salvage, and surplus operations with established protocols to ensure timely procurement and payment.

Accountable for the maintaining effective systems and records of contracts & property.
Accountable for providing assistance on other financial related and/or data analysis for all customers, including but not limited to budget monitoring, preparation, and projections duties as required.

Specific responsibilities, may include:
  • Recording capital asset / property data into related system(s).
  • Processing requisitions and purchase orders as assigned.
  • Processing damaged or defective assets per policies.
  • Maintain accurate records of contracts, purchase orders, and requisitions.
  • Prepare documents and reports for transactions or regulatory compliance.
  • Comply with safety regulations for moving heavy objects.
  • Collaborate with other personnel in identification and pricing of capital assets, salvage, and surplus materials.
  • Accountable for speed and accuracy of execution (including ethical standards) of purchase orders and payment methods.
  • Manage departmental website.
  • Provide backup support in the absence of key staff within the department.
  • Responsible for supporting and performing functions of the administrative assistant when required.
  • Provides support for the routine procurement activities.

Requirements

Professional Experience/ Qualifications
  • Demonstrated ability to accurately perform online data entry, compose written technical inventory descriptions and related email correspondence, and proficiency using MS Excel are required.
  • Demonstrated ability to provide outstanding customer service to internal and external constituents (vendors, drivers, etc.).
  • Demonstrated ability to effectively coordinate activities (e.g. pickups and moves) with vendors.
  • Demonstrated ability to work independently; must possess outstanding organizational skills.
  • Excellent communication skills; both written and verbal.
  • Demonstrated ability to maintain confidentiality when working with sensitive documents and information.
Preferred Qualifications
Some capital asset or purchasing training is preferred.
Education
An Associate's is required, or a combination of education and experience from which comparable skills have been obtained.

A Bachelor's degree is preferred.
Certifications
A current valid driver's license, in accordance with the University's Driver Safety and Motor Vehicle Use Policy is required.
