Seneca Federal Solutions is seeking a Furniture, Fixture & Equipment (FF&E) Project Manager to support our growing critical infrastructure group.

As an FF&E Project Manager specializing in government contracts, you will play a critical role in managing the planning, procurement, delivery, and installation of furniture, fixtures, and equipment for government-funded projects. Your responsibilities will include ensuring compliance with federal regulations, adhering to procurement guidelines, and delivering high-quality FF&E solutions within budgetary constraints. This is a remote posting, and travel for this position is estimated at up to approximately 35%.

Key Responsibilities:

  • Compliance and Regulation:
    • Ensure all FF&E procurement activities adhere to relevant government regulations, including Federal Acquisition Regulation (FAR) and Defense Federal Acquisition Regulation Supplement (DFARS).
    • Familiarize yourself with specific agency requirements and guidelines related to FF&E procurement and project management.
  • Project Planning and Coordination:
    • Develop detailed FF&E project plans, timelines, and budgets tailored to government contract requirements.
    • Collaborate with government agencies, contracting officers, and project teams to align FF&E specifications with project objectives and scope.
  • Vendor Selection and Contracting:
    • Source and evaluate FF&E vendors capable of meeting government contract requirements, including small business set-aside provisions and socio-economic goals.
    • Manage the competitive bidding process and negotiate contracts with vendors to secure favorable pricing and terms while ensuring compliance with procurement regulations.
  • Quality Assurance and Documentation:
    • Conduct thorough inspections of FF&E items to ensure compliance with government contract specifications, quality standards, and performance requirements.
    • Maintain detailed documentation of FF&E procurement activities, including contract files, purchase orders, invoices, and warranty information.
  • Logistics and Supply Chain Management:
    • Coordinate logistics for the transportation, storage, and distribution of FF&E items to government project sites, considering security and clearance requirements.
    • Implement inventory management systems to track FF&E assets throughout the procurement and installation process.
  • Cost Control and Budget Management:
    • Monitor FF&E project expenditures to ensure compliance with government contract budgets and funding limitations.
    • Prepare cost estimates, budget forecasts, and financial reports for government stakeholders, including periodic progress updates and variance analyses.
  • Communication and Stakeholder Engagement:
    • Maintain open lines of communication with government contracting officers, project managers, and other key stakeholders to address concerns, resolve issues, and provide status updates.
    • Collaborate with internal teams and external partners to facilitate seamless coordination and execution of FF&E projects.

Qualifications:

  • Bachelor's/master's degree in Architecture, Interior Design, Business Administration, Public Administration, Project Management, or a related field, or 7 years of direct FF&E Project Management experience.
  • Extensive experience managing FF&E projects for government contracts, preferably within the public sector or government consulting industry.
  • In-depth knowledge of federal procurement regulations, including FAR, DFARS, and agency-specific acquisition policies.
  • Strong analytical skills and attention to detail, with the ability to interpret complex contractual requirements and specifications.
  • Excellent communication, negotiation, and interpersonal skills, with the ability to interact effectively with government officials, vendors, and team members.
  • Proficiency in project management software tools, ERP systems, and Microsoft Office Suite.
  • Relevant certifications such as Certified Federal Contracts Manager (CFCM) or Project Management Professional (PMP) are desirable.
