Core Responsibilities

  • The Practice Operations Specialist is a dual-role position that requires the candidate to have exceptional skills in providing administrative and office management support to the Office of the Vice President and Associate General Counsels of Energy and Environmental Law. The position also involves working on a diverse range of projects, such as Regulatory, Rate Cases, and other special projects. Additionally, the candidate will be responsible for organizing and/or developing presentations, meetings, communications and other projects related to the work of the Energy & Environmental Law Group.
  • Provide office management/administrative support for the Vice President and Associate General Counsels of Energy and Environmental Law as required.
  • Prepare confidential and sensitive documents and maintain confidentiality with respect to all correspondence in all aspects of the Law Department's work.
  • Responsible for tracking tasks assigned to the Associate General Counsels of Energy and Environmental Law , screening calls, receiving visitors, maintaining reports and files, scheduling appointments, and preparing correspondence, which are often sensitive in nature.
  • Assist in creating and coordinating presentations, training, special events and volunteer activities. Provide support during system emergencies and Corporate Emergency Response Center administrative duties. Assist with special projects, duties, and responsibilities as necessary.
  • Assist in maintaining, organizing, and filing of Regulatory documents.
  • Prepare and manage travel and expense reports for VP and Assistant General Counsels of Energy and Environmental and others.
  • Review and streamline office processes for optimum efficiency with exceptional ability to prioritize and organize among tasks in a busy team.
  • Develop sound processes and follow through on audits and compliance-related concerns.
  • Familiarity and agility with MS Office tools and ability to learn other IT technologies as needed.
  • Must have excellent listening, verbal, and written communication skills, with the ability to communicate effectively and handle internal and external contacts professionally with tact and sensitivity.
  • Assist the company during system emergencies by performing a System Emergency Assignment. This may require off-hour and weekend emergency response.

Required Education/Experience

  • Bachelor's Degree and and a minimum of 3 years of relevant experience. or
  • Associate's Degree and and a minimum of 5 years of relevant experience. or
  • High School Diploma/GED and and a minimum of 6 years of relevant experience. Related experience in administrative support, matter management, or process improvements.

Preferred Education/Experience

  • Bachelor's Degree Business, Organizational Management, Marketing, Communications, English, Math, Science, Engineering, Social Sciences, or related discipline preferred and a minimum of three years' legal experience. Experience should be in one or more of the following areas: Regulatory and/or Environmental Matters.

Relevant Work Experience

  • Minimum 3 years Executive Assistant, Administrative Assistant or Legal Assistant experience. Required
  • Must be able to work well independently or in a team environment. Demonstrate initiative, and exercise discretion in coordinating projects, reports, and information as required. Required
  • Proficiency with Microsoft Office Suite, specifically Word, MS Excel and PowerPoint. Required
  • Must be detail-oriented with good analytical skills and ability to efficiently handle multiple tasks and projects with competing priorities and deadlines. Required
  • Must have excellent listening, verbal and written communication skills, with the ability to communicate effectively and handle internal and external contacts professionally with tact and sensitivity. Required
  • Must be disciplined and have excellent time management skills. Required
  • Must have strong interpersonal skills, as well as exemplary follow-up skills and ability to work effectively with employees at all levels. Required

Licenses & Certifications

  • Driver's License Required
  • Other: Notary Public license required within 6 months of start date. Required

Other Physical Demands

  • Must be able to respond to Company emergencies by performing a System Emergency Assignment to restore service to our customers.
  • Must be able and willing to travel within Company service territory, as needed.
