Position Summary
The American Museum of Natural History is one of the world's preeminent scientific and cultural institutions, and has as its mission to discover, interpret and disseminate information about human cultures, the natural world and the universe through a wide-ranging program of scientific research, education and exhibition.

The Event and Conference Services department is seeking a full-time Event Sales Coordinator. This position reports directly to the Director of Sales and Marketing and is responsible for day-to-day administrative responsibilities such as qualifying and responding to sales inquiries, preparing contracts and maintaining the customer database and external event calendar.

The Coordinator should have excellent verbal/written communication and interpersonal skills and the ability to work with a wide range of clients, and be self-motivated, highly organized, proactive, creative, flexible and resourceful. Attention to detail and the ability to prioritize and balance multiple tasks are essential.

Job duties include:
  • Independently respond to incoming sales leads and referrals and handle the booking process. Communicate venue capabilities and event options to external clients.
  • Prepare proposals, contracts, invoices and internal documentation for external events, often communicating with clients on the Director of Sales' behalf.
  • Organize, schedule and attend site visits for external events.
  • Manage and maintain customer relationship management database and the external event calendar (Momentus).
  • Maintain the budget forecast. Update budget throughout the event lifecycle.
  • Generate reports tracking inquiries and sales trends.
  • Support marketing campaigns, client recognitions and other projects as assigned.
  • Support departmental sales/marketing goals, as well as new business development growth efforts.
  • Complete general administrative duties accurately and on a timely basis.
  • Attend industry events and network to gain new business leads and learn about developing event trends.

The expected salary range for the Event Sales Coordinator is $62,500/annual - $65,000/annual. The AMNH offers an extensive benefits package designed to meet the needs of our dedicated and diverse community.

Pay will be determined based on several factors. The hiring range for the position at commencement is based on the type of work and the scope of responsibilities. The salary and placement offered is based on a number of individualized factors, including, but not limited to, skills, knowledge, training, education, credentials, areas of specialization and depth and scope of experience.
Required Qualifications
  • High School Diploma or equivalent.
  • 2 years of experience in venue or catering sales.
  • Familiar with food and beverage services.
  • Proficient in Microsoft Office Suite.
  • Knowledge of a calendar/CRM system.
  • Ability to work early mornings, evenings, weekends and holidays as needed.
Preferred Qualifications
  • Bachelor's degree or equivalent, particularly if in hospitality.
  • Knowledge of event venue operations.
Physical Demands
  • Ability to lift 35 pounds.
  • Ability to stand and walk for long periods of time.
