Job Description

RESPONSIBILITIES AND DUTIES:

Administrative Support

  • Provides full administrative support including phone handling, typing, reports, filing, and distribution of correspondence. Coordinates office supplies in the absence of a property administrator
  • Track vendor and tenant invoices through accounting, following established procedures

Tenant & Lease Coordination

  • Own lease administration activities, such as abstracting leases and maintaining an up-to-date database.
  • Prepares and maintains property files in an orderly and logical manner, including leases and contracts.
  • Obtain aging report for management and follow up on all delinquencies, utilizing C&W or client-directed policies
  • Follows up on all delinquencies per company or client-directed policies.
  • Assists in the preparation of annual budgets, monthly financial reports, and bank deposits if handled at the on-site management office.
  • Coordinates tenant move-ins and move-outs, including arranging for furniture delivery and pickup
  • Oversees maintenance of work order and purchase order systems
  • Responsible for development and maintenance of a comprehensive Tenant Service Package, including tenant handbooks, anniversaries, holiday gifts, park events, quarterly newsletters, and training programs.
  • Ensures current and updated tenant information within the database.

Property Operations

  • Prepares and coordinates bid proposals and service contracts.
  • Updates and maintains office procedures in the Property Operations Procedure Manual under the direction of the manager
  • Ensures that Certificates of Insurance for tenants and vendors are current
  • Oversees the processing of management and maintenance staff hours, expense reports, check requests for review and approval
  • Manages above-standard tenant bill-backs for electrical usage, after-hours HVAC, and other charges in a timely manner.
  • Leads regular inspections of properties with janitorial and landscape providers, and any other service provider as directed by the manager.
  • Participates in the performance oversight of all service contractors who perform contractual services.

QUALIFICATIONS

  • Ideal candidate will have strong organizational skills, good attention to detail, and excellent verbal and written skills
  • High touch approach to customer service
  • Flexible and agile as priorities change, working with the appropriate level of independence and ability to partner effectively across departments
  • Strong follow-up skills
  • Possesses a sense of urgency
  • Proficient in Microsoft Office Suite, including the ability to create professional communication and reports using word
  • Ability to draft and format presentations in PowerPoint
  • Foundational Excel experience and skills to create charts, diagrams and tables of data

EDUCATION

  • High school diploma/ GED equivalent; Bachelors Degree preferred

WORK ENVIROMENT

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Regularly required to travel outside between properties in varying weather conditions.

PHYSICAL DEMANDS

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee may need to stand and walk for extended or continuous periods of time. They must be able to ascend and descend staircases, ladders, and/or step stools and may be required to travel outside between buildings in varying outdoor weather conditions. The employee may also be regularly required to remain in a stationary position (sit or stand) for 85% of the time; regularly operate office machinery.

The company will not pay less than minimum wage for this role.


The compensation for the position is: $45.00 - $45.00
