Gift Processing Specialist

GENERAL POSITION DESCRIPTION

This Gift Processing Specialist at Canisius is an integral part of the Institutional Advancement team responsible for the proper recording, processing and coding of all charitable gifts and pledges to Canisius that include cash/checks, credit cards, ACH, gifts-in-kind, payroll deduction, stock transfers and gifts to bank lockbox as well as the entry and maintenance of constituent records within the CRM Advance database.

Reporting to the Director of Advancement Services, the Gift Processing Specialist ensures accurate and timely recording of donor gifts and contact information. The candidate has the ability to maintain strict confidentiality regarding constituent information and be able to work independently and as part of a team.

RESPONSIBILITIES

    • Prepare gifts for entry, determine campaign, fund, or appeal for each gift and enter into CRM Advance database.
    • Accurately processing fundraising pledge payments received from multiple sources.
    • Update current and enter new records to maintain personal, demographic, employment and relationship data.
    • Update donor records as indicated on pledge forms, payment documentation, returned mail, etc.
    • Enter information on all matching gifts from participating companies into the university database.
    • Prepare daily deposits, including check and credit card payment memos and run daily reports for gift batches.
    • Process manual credit card payment requests as received as well as run daily and weekly reports.
    • Generate and distribute pledge acknowledgements and gift receipts.
    • Speak with constituents regarding billing, changes in pledge status or any other concerns or questions.
    • Payroll processing entry and communication with payroll department.
    • Work collaboratively with other offices within Advancement and the university to support fundraising projects.
    • Identifies and defines new process improvement opportunities.

QUALIFICATIONS

    • Demonstrated experience in gift processing preferred.
    • The ability to type accurately, edit, and understand information movement in a data processing environment.
    • Ability to prioritize and manage multiple projects while meeting deadlines.
    • Strong organizational skills.
    • Computer proficiency in Microsoft Office applications - CRM Advance experience a plus.
    • Professional demeanor and strong verbal and written communication skills.
    • Strong interpersonal skills: ability to work well within a team environment and independently.

Compensation and Benefits:

Salary: $40,000.00 annually

Please note that the compensation information is a good faith estimate of the base pay for this position. The selected candidate's actual base pay will be based on job-related, non-discriminatory factors including experience. Information about the total compensation package for this position will be provided during the interview process.

This is a full-time, 12-month hourly position. Benefits are available the first of the month after the full-time employee's date of hire and include - health, dental and vision insurance, life and long-term disability insurance, and retirement plan enrollment is available to full-time employees with contribution from the University after one year. Paid holidays, vacation, personal leave and sick leave. Tuition benefits are also available for full-time employees and their qualified dependents.
